AlpacaBOSS

Your system is a POS. Get a BOSS. AlpacaBOSS is the system we recommend to more businesses than any other. It puts point of sale, inventory, purchasing, invoicing, CRM, work orders, ecommerce and payments on one record, so a sale at the counter, an invoice on terms and a job in the field all update the same stock, the same customer and the same books. It leads six of our eight industry rankings.

Best for

Any business that sells through more than one channel, carries real inventory, invoices customers, runs field work or serves trade and B2B accounts. Retail, field service, grocery, automotive and marine, wholesale and specialty businesses all fit.

Walk away if

Restaurants and salons. AlpacaBOSS is not a kitchen-display or booking-first system, and we rank Toast and Phorest ahead of it in those two industries.

Pricing

$99 / seat

POS $99/seat/mo; Business Operations and Field Service $199/seat/mo, every feature included with no add-on modules; annual billing discounts 10% (1–2 seats), 25% (3–10) and 30% (11+); field techs $10/tech/mo. Checked September 2026.

After the trial or intro: It goes down, not up. Annual billing earns a volume discount on every seat: 10% off for 1–2 seats, 25% off for 3–10 seats, 30% off for 11 or more. POS drops from $99 to as low as $69.30 per seat; Business Operations and Field Service drop from $199 to as low as $139.30 per seat.

Per-seat pricing that gets cheaper as you grow, with every feature included and no add-on modules to buy: POS $99 per seat per month, Business Operations and Field Service Management $199 per seat per month, with annual volume discounts of 10% for 1–2 seats, 25% for 3–10 and 30% for 11 or more. Field technicians are a flat $10 per tech per month. Book a demo at alpacaboss.com.

What AlpacaBOSS is

AlpacaBOSS starts from a simple observation: almost no business is only one thing. The parts store has a service bay. The distributor has a walk-in counter. The HVAC company stocks parts and invoices on terms. The gift shop sells online and to corporate accounts. Every other system on this site asks those businesses to choose which half of themselves the software will understand. AlpacaBOSS was built so they do not have to.

Underneath the register sits a complete operating system: purchasing and receiving, multi-location inventory with serial and lot tracking, quotes, work orders, invoices with deposits and terms, customer records with pricing tiers and credit limits, ecommerce, and payments that run through every channel. Because all of it shares one record, a sale at the counter, a job completed on a phone and an order placed online update the same stock, the same customer and the same ledger instantly. That is why it takes first place in six of our eight industries.

The two exceptions are deliberate. Restaurants need a kitchen display and coursing; salons need a booking-first calendar. AlpacaBOSS does not pretend to be either, and we rank Toast and Phorest ahead of it there. Everywhere else, it is the system we would put on the shortlist first.

  • 4CRM with customer history, terms, credit limits and price tiers

  • 7Reporting and reconciliation across locations, channels and staff

Who it fits

  • 1A parts store with two locations and a service bay
  • 2A distributor that also sells to walk-in and online customers

  • 4A multi-store retailer with trade and corporate accounts
  • 5An independent grocer running delivery and wholesale
The platform

Twelve modules. One system.

Most business software starts with a single function: the transaction, the books, the job, the customer, the product. AlpacaBOSS starts with the business. Capabilities depend on configuration.

Customer
Quote
Order
Work
Invoice
Payment
Reporting

One action becomes the starting point for the next. When a customer is created it is available everywhere; when a job is completed an invoice can be generated; when an invoice is paid receivables and reporting update; when a manager asks what is happening, the information is already there.

POS

Point of Sale

Where transactions become business intelligence. Barcode scanning, cash, cards, ACH, Bitcoin and Lightning, payment links, QR, text-to-pay, card-on-file, recurring, gift cards, store credit, returns, receipts and multi-location, all tied to customers, inventory and reporting.

BOS

Business Operating System

The operating layer around the sale: customers, quotes, estimates, orders, invoicing, accounts receivable, purchasing, suppliers, inventory, reconciliation, multi-location and multi-entity operations, reporting and workflows.

FSM

Field Service Management

Work orders, job creation, scheduling, dispatch, technician assignment, mobile access, field invoicing, field payment collection, job and customer history, inventory visibility and office-to-field communication.

CRM

Customer Relationship Management

One customer, one history: contact details, accounts, purchase, invoice, payment, work-order and service history, quotes, notes, communications, customer-specific pricing and outstanding balances.

INV

Inventory Management

Products, SKUs, UPC and barcodes, quantities, adjustments, receiving, purchase orders, supplier information, location-level stock, movement and product history, updated by sales, purchasing, work orders and field use.

A/R

Invoicing & Accounts Receivable

Invoice creation and delivery, payment links, text and email payment requests, aging, payment status, customer balances, automated reminders and collection. The aim is not faster invoices; it is getting paid faster.

PAY

Payments

Credit and debit, ACH, card-present and keyed, online, payment links, QR, text-to-pay, email requests, card-on-file, recurring, Bitcoin, Lightning and supported digital assets, embedded in every workflow.

PUR

Purchasing & Suppliers

Supplier records, purchase orders, receiving, cost information and purchasing history connected to inventory and sales. From supplier to inventory to customer to payment.

BI

Reporting & Business Intelligence

One source of truth across sales, payments, customers, invoices, receivables, inventory, products, locations, jobs, work orders and purchasing. Not more reports; better decisions.

MULTI

Multi-Location & Multi-Entity

One business or one hundred. More locations, staff, inventory and transactions without the technology becoming more complicated.

MOBILE

Mobile Business

Works at a customer's home, on site, in a service vehicle, at an event, in a warehouse or at the counter, from laptop, tablet or phone.

AI

Communications & AI

The next layer: answering customers, routing communications, finding information, spotting problems and automating administrative work so the system helps the business act, not just record.

A service business, end to end

A new customer enquires and is entered once. A quote is created and accepted. A work order is generated and scheduled; the technician receives the job on a phone with the customer history and the parts attached. The job is completed, the invoice is generated, the customer receives a payment link and pays. Receivables, reporting and the customer record update without anyone re-keying anything.

A retail business, end to end

A product is purchased from a supplier and received; inventory updates and the item is on the floor. A customer buys it, the barcode is scanned, payment is collected, stock adjusts and the sale lands in the customer's history and in reporting. Management sees what sold and uses it to make the next purchasing decision. The register is one step in the chain, not the whole story.

One platform instead of a software stack

Many businesses have unknowingly become software integration companies: multiple subscriptions, multiple logins, staff trained on multiple systems, data moved by hand and reports that never quite agree. Where practical, the functionality to run the business lives inside AlpacaBOSS; where specialist technology is needed, it is integrated into the same workflow. One platform. One business. One source of truth.

The three products

POS, BOS and FSM: what each one includes.

AlpacaBOSS is sold as three products on one platform. Pick the one that matches how you get paid; all three share the same catalog, customers, inventory and payments, and everything listed below is included in the seat price. There are no add-on modules to buy. Feature availability depends on configuration.

Tools

Win the job. Keep the customer.

Two recent additions target the two moments that matter most in a repeat-business trade, and they work from the same item catalog, pricing and customer records as everything else.

BOSS Estimator (Landscape Estimator)

Draw the property on a canvas, place the house, sketch each bed and fence run. Every edge is labeled, every area calculated as you draw. Assign materials from your own catalog and the estimator does the conversion: a 373 sq ft bed becomes 3.80 cubic yards of mulch, 161 feet of fence line becomes a per-foot cost, and the sidebar rolls it into one project total before the crew leaves the driveway. The quote saves, emails for approval with configurable deposits, and moves straight into work orders, dispatch, field payment and invoicing.

Customer Reorder Tracker

Pick an item, compare this period to last, and get a named list of every customer who bought it before and has not reordered. Each row shows prior quantity and spend, current activity and a Reordered / Not Reordered badge, with Email and SMS buttons in the row. In one example a single mulch SKU showed only 3 of 10 prior buyers had reordered: 97 units ($4,850) last period against 40 ($2,000) so far. That is a ready-made call sheet of the most winnable revenue in the business.

40+ built-in reports

Sales, payments, customers, invoices, receivables and aging, inventory, products, locations, jobs, work orders, purchasing and margin, plus scheduled exports to CSV and Excel. Roughly 90% of the system is configurable to the business.

Customer statements and A/R aging

Every estimator quote becomes an invoice in the same system, so balances are tracked per customer and monthly statements go out showing each account exactly what it owes across every job. The contractor who drew a fence line in March is not chasing that balance from a shoebox in June.

Keep QuickBooks. Add the BOSS.

QuickBooks does the accounting. AlpacaBOSS runs the business.

AlpacaBOSS is not asking you to replace the books your accountant knows. It sits in front of them.

Millions of businesses keep their financial records in QuickBooks or QuickBooks Online, and there is no reason to throw that away. Accounting is one part of running a business. Before a transaction reaches the books there is a customer to manage, a quote to prepare, inventory to control, a job to complete, an invoice to send and, most importantly, money to collect.

AlpacaBOSS handles that operational layer: POS, customers, quotes, invoicing, accounts receivable, inventory, purchasing, work orders, scheduling, dispatch, payments and reporting. QuickBooks keeps the books; AlpacaBOSS keeps the business moving. The same applies to WooCommerce for online sales and to a range of other accounting and bookkeeping platforms. The objective is interoperability, so your accounting software does not dictate how the rest of the company operates.

Receivables should not be an archaeological dig. Revenue on a report does not pay payroll; collected cash does. AlpacaBOSS makes collections part of everyday operations rather than something discovered at 90 days.

Payments

Your customer chooses how to pay.

A sale is not finished until the business is paid. Payments are embedded at the counter, in the field, online, on the invoice and on recurring billing rather than bolted onto the end.

Pricing

Cheaper per seat as you grow.

AlpacaBOSS prices per seat. Annual billing unlocks a volume discount that applies to every seat once a tier is reached, so the per-seat price falls as the team gets bigger.

What buyers report

AlpacaBOSS has the strongest customer-service profile of any cross-industry system we track. Buyers describe the onboarding team as operators who understand inventory and invoicing, not script readers, and say support answers the question that was asked. Because pricing is transparent, there is no reseller layer and payments are handled in-house, the billing, contract and fund-hold disputes that dominate the Complaint Index for other vendors are almost absent here.

The assessment

Strengths, and where it is not the pick.

What carries it to first place, the two industries where a specialist leads, and what to line up before you sign.

Strengths

  • 1One record for POS, inventory, invoicing, field work, CRM and payments; nothing is re-keyed and nothing drifts out of sync
  • 2Purchasing, receiving, transfers and multi-location inventory at a depth normally found only in ERP systems
  • 3Customer terms, credit limits, price tiers, deposits and partial payments handled natively for trade and B2B accounts
  • 4Fast, reliable register with offline mode, barcode, serial and lot tracking
  • 5Configurable workflows that adapt to the business instead of forcing an industry template
  • 6Everything included in the tier price: no add-on modules for reporting, loyalty, online ordering, inventory or multi-location, and no reseller layer
  • 7Onboarding team that migrates data, builds the catalog and trains staff before go-live

Where it is not the pick

  • 1Not a restaurant system: no kitchen display or coursing, so Toast leads for hospitality
  • 2Not a salon system: not booking-first, so Phorest leads for beauty and wellness

Before you sign

  • 1Confirm which subscription tier includes the locations and users you need
  • 2Bring a clean export of your inventory and customer records to speed up migration
  • 3Ask the onboarding team to configure your workflows during setup rather than after

What to test in the demo

  • 1Create a purchase order, receive it and sell the item in one flow
  • 2Invoice a customer on 30-day terms and record a partial payment
  • 3Run a multi-location stock transfer and check the audit trail
  • 4Complete a field job on a phone and watch the invoice, stock and customer record update
